1. Purpose

This policy sets out how The Shades of the Life Oxford Digital Design and Visual Art Studio (SOL) supports children with Special Educational Needs and Disabilities (SEND), and those with medical conditions, to ensure full inclusion and access to a safe, enjoyable, and enriching experience.

 

2. Our Commitment

We are committed to:

  • Ensuring all children are welcomed and supported appropriately

  • Making reasonable adjustments to meet individual needs

  • Working in partnership with families and professionals

  • Complying with the Equality Act 2010 and the SEND Code of Practice

 

3. Identification and Support of SEND

  • Information about children’s SEND is collected at registration and discussed with parents.

  • An individual support plan may be created for children who need adjustments or specialised approaches.

  • We work closely with parents, carers, and where applicable, external professionals (e.g. SENCOs, occupational therapists).

  • Staff are briefed on the individual needs of each child to ensure consistent, sensitive care.

 

4. Medical Needs

  • Parents must provide full details of medical needs and medication during registration.

  • A Health Care Plan will be developed for any child with ongoing or serious conditions.

  • Staff are trained in basic first aid and, where required, specific training for conditions such as epilepsy, asthma, diabetes, allergies, or administering medication.

  • Medication is stored securely and administered according to written instructions and consent.

  • Emergency medications (e.g., EpiPens, inhalers) are kept accessible to the child and supervising staff.

 

5. Reasonable Adjustments

We strive to:

  • Modify activities, learning tasks, and spaces to support full participation

  • Provide alternative methods of communication or instructions if required (e.g., visual schedules)

  • Offer quiet spaces or sensory regulation tools

  • Assign a key adult to monitor and support children with higher needs

 

6. Confidentiality and Dignity

  • Information about a child’s needs is shared only with relevant staff and handled in line with our GDPR/Data Protection Policy.

  • We uphold children’s dignity and promote a culture of respect and empathy.

 

7. Emergency Procedures

  • All support and health information is included in our emergency procedures and accessible to the relevant staff.

  • In a medical emergency, emergency services will be contacted and parents/carers notified immediately.

 

8. Collaboration with Families

  • We value parents’ and carers’ knowledge of their children.

  • Families are encouraged to communicate openly about needs, updates, or concerns.

  • We welcome review meetings or phone consultations and will initiate them as needed.

 

9. Inclusion and Participation

  • Children with SEND or medical needs are encouraged to join all activities unless contraindicated.

  • Staff will work to find suitable alternatives or adaptions where full participation is not immediately possible.

  • We promote peer understanding and inclusive values within the group.

 

10. Monitoring and Review

  • The CEO/SEND Lead is responsible for monitoring implementation and effectiveness.

  • This policy is reviewed annually or sooner if changes in legislation or best practice occur.
